This Refund & Cancellation Policy ("Policy") governs the terms and conditions for refunds, cancellations, and service termination relating to products and services offered by Webhood Infotech. All users, clients, subscribers, partners, and account holders must comply with this Policy.
1.Introduction
This Refund & Cancellation Policy ("Policy") governs refunds, cancellations, payment reversals, disputes, and service termination relating to products and services offered by Webhood Infotech ("Webhood", "Company", "we", "our", or "us").
By purchasing any service, software, subscription, package, SaaS product, automation solution, AI solution, website, application, maintenance plan, or consulting service from Webhood Infotech, you agree to this Policy.
2.General Principle
Webhood allocates resources, personnel, infrastructure, software licenses, development time, and project capacity immediately upon project acceptance.
For this reason, refunds are limited and subject to the conditions outlined in this Policy.
All refund decisions shall be made solely by Webhood in accordance with these Terms.
3.Project Cancellation Before Work Begins
A Client may request cancellation before work has commenced.
For the purpose of this Policy, work shall be deemed to have commenced when any of the following occurs:
- Project onboarding begins
- Requirements gathering begins
- Discovery sessions begin
- Design work begins
- Development work begins
- Project resources are allocated
- Project planning activities commence
If cancellation is requested before work begins, Webhood may, at its sole discretion, approve a partial or full refund after deducting any administrative, transaction, consultation, or onboarding costs incurred.
4.Project Cancellation After Work Begins
Once work has commenced:
- Payments become non-refundable.
- Advance payments become non-refundable.
- Deposits become non-refundable.
- Resource allocation fees become non-refundable.
This applies regardless of project completion status.
5.Design Approval Policy
Once a design, wireframe, UI concept, prototype, mockup, visual layout, branding concept, or other design deliverable has been reviewed and approved by the Client:
- No refund shall be available.
- The project shall be considered accepted at the design stage.
- Subsequent cancellation shall not create any refund obligation.
Client approval may be provided through:
- Project management platforms
- Written communication
- Verbal confirmation followed by project continuation
- Any other reasonably verifiable communication
6.Milestone-Based Projects
Where projects are divided into milestones:
- Completed milestones remain non-refundable.
- Approved milestones remain non-refundable.
- Delivered milestones remain non-refundable.
Payments associated with completed work shall not be refunded.
7.Custom Development Services
Due to the customized nature of development services, the following are strictly non-refundable:
- Website development
- Software development
- Mobile application development
- CRM development
- ERP development
- AI development
- Automation systems
- API integrations
- Custom coding
- Technical consulting
- UI/UX design services
Once work begins, refunds shall not be available.
8.Packaged Solutions
Packaged solutions may include combinations of:
- Website development
- Marketing automation
- CRM implementation
- AI solutions
- Consulting services
- Maintenance services
- Other bundled services
Unless otherwise agreed in writing:
- Packaged solutions require advance payment.
- Payments for packaged solutions are non-refundable once implementation begins.
9.SaaS Products
Subscription-based services, SaaS platforms, AI tools, software licenses, and digital products are generally non-refundable.
This includes:
- Monthly subscriptions
- Annual subscriptions
- Usage-based subscriptions
- AI service subscriptions
- Platform access fees
10.Subscription Cancellation
Clients may cancel subscriptions at any time.
Cancellation shall:
- Prevent future billing cycles.
- Not create entitlement to a refund.
- Not reverse previous charges.
Access shall remain active until the end of the current billing period unless otherwise stated.
11.Domain Names
Domain registrations are non-refundable.
This includes:
- New registrations
- Renewals
- Transfers
- Premium domains
Once a domain is purchased, no refund shall be provided.
12.Hosting Services
Hosting services are subject to provider policies.
Where hosting fees have been paid to third-party providers:
- Such fees may be non-refundable.
- Refund eligibility shall depend upon provider policies.
Webhood shall not be responsible for refunds denied by hosting providers.
13.Third-Party Costs
Refunds shall not apply to expenses already incurred on behalf of the Client, including:
- Domain purchases
- Hosting purchases
- Software licenses
- Premium plugins
- API credits
- Advertising spend
- Third-party subscriptions
- Payment gateway charges
- Cloud infrastructure costs
Such expenses remain payable by the Client.
14.Change of Mind
Refund requests based on:
- Change of business plans
- Change of priorities
- Internal management decisions
- Budget constraints
- Market conditions
- Personal preferences
Shall not qualify for refunds once work has commenced.
15.Delayed Projects Caused by Client
Refunds shall not be available where delays arise from:
- Missing content
- Missing approvals
- Missing credentials
- Client-side decisions
- Lack of communication
- Internal client delays
Project timelines may be revised accordingly.
16.Project Abandonment
If a Client becomes unresponsive for sixty (60) consecutive days:
- The project may be classified as abandoned.
- Webhood may terminate the engagement.
- Any payments made shall be forfeited.
- No refund shall be issued.
Prior to abandonment, Webhood may issue reminders through available communication channels.
17.Chargebacks and Payment Disputes
Clients agree to contact Webhood before initiating:
- Chargebacks
- Payment disputes
- Bank reversals
- Payment processor claims
Improper chargebacks may constitute breach of contract.
Webhood reserves the right to provide documentation, communications, project records, approvals, and evidence to financial institutions in defense of disputed transactions.
18.Promotional Offers
Refund eligibility for discounted, promotional, special-offer, or limited-time services may differ from standard services.
Additional restrictions may apply.
19.Exceptional Refunds
In rare situations, Webhood may voluntarily approve a refund.
Such approval:
- Is entirely discretionary.
- Shall not establish precedent.
- Shall not create future obligations.
Refund amounts may be reduced to account for:
- Work completed
- Resources allocated
- Administrative expenses
- Transaction costs
- Third-party expenses
20.Refund Processing
Where a refund is approved:
- Processing may require 7–30 business days.
- Refunds shall be issued through the original payment method where possible.
- Banking delays may occur outside Webhood's control.
21.Limitation of Refund Liability
The maximum refund amount, if approved, shall never exceed the amount actually paid by the Client for the specific service in question.
No compensation shall be provided for:
- Lost profits
- Lost opportunities
- Business interruptions
- Indirect damages
- Consequential damages
22.International Clients
International payments may be subject to:
- Currency conversion fees
- Banking fees
- Transfer fees
- Payment processor fees
Such charges are generally non-refundable.
23.Governing Law
This Policy shall be governed by the laws of India.
Any dispute relating to refunds, cancellations, or payment matters shall fall under the exclusive jurisdiction of the courts of Jamshedpur, Jharkhand, India.
